Salon management software in the UK: what matters in 2026

What UK salon management software should do in 2026: booking, diary, payments in pounds, reports and AI, and how to check a claim before you buy.

Five years ago salon software meant a diary on a computer at reception. In 2026 it means the diary, the booking page, the client records, the payments, the reports and, increasingly, an assistant that books for clients and answers questions for staff, all in one browser-based system that the owner can open from anywhere.

That is the category as sold. What follows is the category as it should be judged by a UK salon, barbershop or spa: what to expect as standard, what is specific to running a business here, and how to check any claim before money changes hands. The basics you should not have to ask for

Any system worth paying for in 2026 does these five things without an add-on.

  • Online booking that shows real availability and confirms by email. In Salon100X that is a six-step booking page with a choice of stylist or "any available", 30-minute slots up to 90 days ahead, and a confirmation to the client, the stylist and the owner.
  • A diary the whole team reads. Day view with a row per stylist and a live time line, month view, blocked time, check-in with late-arrival tracking.
  • A client record that shows the relationship: upcoming, past and cancelled appointments, lifetime spend, visits, average spend, top services, points, membership, gift cards and packages.
  • Card and online payments through a proper gateway. Salon100X uses Stripe: clients pay from their portal, or staff send a payment link for an appointment or a retail order.
  • Reports you can read on a Monday. Thirty of them, with CSV and PDF export and scheduled emails, plus a "Today at a glance" dashboard.

If a vendor treats any of those as a premium tier, keep looking.

What is specific to the UK

A lot of salon software is built for the United States and localised afterwards. Three things to check.

Money. Prices, receipts and reports should be in pounds by default, and the receipt should show VAT where you charge it. Salon100X defaults to pounds everywhere and supports VAT-inclusive pricing with a VAT line on receipts.

Payroll and your accountant. Most UK salons pay commission on top of a wage and hand the numbers to an accountant or a bureau. Salon100X produces commission statements per staff member and exports payroll periods as generic CSV, Xero, QuickBooks or UK IRIS files. It does not calculate wages, hours or deductions; those stay with your payroll provider. See staff and payroll.

Data protection. Your client records are personal data under UK GDPR, and you are the controller. Ask any vendor where data is stored, how you get a client's record out when they ask for it, and what happens to your data if you leave. Payments without the terminal claim

Be precise about what "payments" means in any product. Salon100X takes card and online payments through Stripe and sends payment links. It does not include a card terminal, tap to pay, Apple Pay or Google Pay, and there is no end-of-day cash-up screen. Keep the terminal you already use for in-person card payments. AI that books and answers

The AI features in salon software are now real enough to test rather than take on trust. Salon100X has two. A Booking Assistant on your public pages lets a client type, dictate for up to 60 seconds, or talk live in the browser, in English, and books against real availability with an 8-character reference, reading each change back for a yes. A Front Desk Copilot inside the dashboard lets staff type plain requests to create or change appointments, update client records and run any of the 30 reports, with a Yes or No confirmation before any change and a single-use code before any delete.

Running more than one site

If you have two locations or plan to, check how the software separates them. In Salon100X each location has its own manager login, opening hours, appointment settings and Stripe account, while services, products and permission roles are shared across the business. Clinics and medical spas

Medical spas and dermatology clinics need consent captured and stored, consultations bookable as their own service, and treatments restricted to qualified practitioners. What to check before you pay

  1. Book yourself in from your phone as a client, then find the booking in the diary.
  2. Take a test payment through the system and find it on the transactions page.
  3. Ask for the full list of reports and open three of them on demo data.
  4. Ask for a written list of what the product does not do. A vendor who cannot produce one has not thought about it.
  5. Ask what happens at the end of any free period, in writing.
