What we collect

Through the forms on this site

When you book a demo, request a growth audit, ask about a bundle or send a contact message, we collect what you type into the form. Depending on the form that can include:

  • your name, email address and phone number
  • your business name, business type and number of locations
  • your website address and the booking system you use today
  • your monthly marketing spend, your goals and any message you write
  • the page you sent the enquiry from and the campaign it came from, recorded as campaign parameters (for example the source, medium and campaign name in the link you clicked)

Through cookies and similar tools, with your consent

With your consent we set analytics cookies (Google Analytics 4, loaded through Google Tag Manager) that tell us which pages are visited and how visitors move through the site, and marketing cookies (the Meta Pixel and Google Ads conversion tags) that measure whether our advertising led to an enquiry. Nothing in this category is set until you choose to allow it in the cookie banner. Our cookie policy lists each cookie.

Through ordinary use of the site

Our hosting provider records technical information needed to serve pages and keep the site secure, such as your IP address, browser type and the time of each request. This is kept in server logs for a short period.

Why we use it, and our lawful basis

  • To respond to your enquiry, run a demo or prepare a growth audit, and to take the steps you ask for before entering into a contract with you. Lawful basis: performance of a contract, or steps taken at your request before a contract.
  • To run, secure and improve the website, and to contact you about our software and services where you work for a salon or similar business. Lawful basis: our legitimate interests in running a business and in business-to-business contact, balanced against your rights.
  • To measure visits and advertising through analytics and marketing cookies. Lawful basis: your consent, which you give or refuse in the cookie banner and can change at any time.
  • To send you marketing emails. Lawful basis: your consent, which you can withdraw at any time using the link in any email or by writing to us.

We do not sell personal data, and we do not use it for automated decisions that have a legal or similarly significant effect on you.

Who processes data on our behalf

We use a small number of service providers. Each acts on our instructions under a written contract, and each only receives the data it needs.

  • GoHighLevel: our customer relationship management system, where enquiries and contact details are stored and followed up.
  • Resend: delivers the emails we send, such as confirmations and replies.
  • Sanity: the content platform for this site, which also keeps a log of enquiries.
  • Vercel: hosts the website and serves its pages.
  • Google Analytics, loaded through Google Tag Manager: measures visits, only after you consent.
  • Meta: measures whether our advertising on Facebook and Instagram led to an enquiry, only after you consent.

We may also share data where the law requires it, or with professional advisers under a duty of confidence.

International transfers

Some of these providers store or process data outside the United Kingdom, including in the United States. Where that happens we rely on safeguards recognised under UK law: the UK's adequacy regulations for the country concerned, the UK Extension to the EU-US Data Privacy Framework (the UK-US data bridge) where the provider is certified, or the International Data Transfer Agreement or Addendum approved by the Information Commissioner. You can ask us for details of the safeguard used for a particular provider.

How long we keep it

  • Enquiries and the details that come with them: for as long as we need them to respond and follow up, and for no more than 24 months from the last contact, after which they are deleted or anonymised. If you become a client, the details move to the records we keep under our agreement with you.
  • Marketing consent: until you withdraw it. We keep a record that you withdrew consent so that we do not contact you again.
  • Cookie consent choices: 180 days, stored in the consent cookie described in our cookie policy.
  • Server logs: a short period set by the hosting provider, used only for security and troubleshooting.

Your rights

Under UK GDPR you have the right to:

  • ask for a copy of the personal data we hold about you (access)
  • ask us to correct data that is wrong or incomplete (rectification)
  • ask us to delete your data (erasure)
  • ask us to limit how we use your data while a question is resolved (restriction)
  • receive the data you gave us in a common machine-readable format, or have it sent to another provider (portability)
  • object to processing based on our legitimate interests, and to direct marketing at any time (objection)
  • withdraw consent at any time where consent is the basis we rely on, without affecting what was done before

To use any of these rights, email info@salon100x.com from the address you used with us, or write to the registered office above. We will reply within one month. We may ask you to confirm your identity before acting. There is no charge unless a request is clearly unfounded or excessive.

Complaints

If you are unhappy with how we have handled your data, please tell us first and we will try to put it right. You also have the right to complain to the Information Commissioner's Office, the UK regulator for data protection, at ico.org.uk or on 0303 123 1113.

Salon clients and the Salon100X software

If you are a client of a salon, barbershop, spa or clinic that uses the Salon100X software, the salon is the controller of the personal data it holds about you, such as your bookings, contact details and forms. That data is covered by the salon's own privacy notice, and any request about it should go to the salon. Salon100X Ltd processes that data on the salon's behalf, as a processor, under the terms of the software agreement with the salon, and only on the salon's instructions.

Children

This website is aimed at businesses. We do not knowingly collect personal data from anyone under 18 through it.

Changes to this policy

We will update this page when our practices change and show the date of the latest version at the top. Significant changes will be flagged on the page itself.
